Job Description:

Small, family-owned business seeks detail-oriented, problem-solving, deadline-driven and self-motivated individual to join small team. Duties & Responsibilities:

  • Organize and maintain meticulous records and detailed notes on information and documentation requests, follow ups, retrieval, dates, applications, etc.

  • Maintain timely and accurate records and notes in cloud-based case management system.

  • Provide exceptional customer service to candidates, clients, agents, vendors, and colleagues.

  • Build strong relationships with clients, candidates, agents, vendors, and colleagues.

  • Case manage healthcare licensure preparation to ensure timely applications, sitting for exams, and retrieval of passing reports.

  • Case manage healthcare licensure applications, including retrieving and submitting of necessary documentation, to obtain timely license certifications and renewals.

  • Case manage immigration filings with both USCIS and NVC, including requesting, reviewing, and submitting documentation for attorney processing.

  • Case manage immigration processing at USCIS and NVC, including routine follow up on status, responding to requests, and ensuring candidate/agent/attorney/staff/manager are aware of changes and/or delays.

  • Assist candidates with preparation for Embassy interviews by obtaining necessary documentation and sending reminders, ensuring successful completion.

  • Make relocation arrangements for candidates including coordinating airfare arrangements, securing housing and transportation, arranging transportation for candidate to and from necessary orientations and appointments, and preparing all items necessary for candidate to arrive at worksite for first day of employment.

  • Provide on-site assistance to onboard candidates, including: travel to placement destination, welcome new employees at airport, provide transportation for employees and families to their housing, provide a local area tour, assist with settling in (HR paperwork, obtaining groceries and household essentials, enrolling children in school, etc.)

  • Screening candidates for skills, experience, and English language mastery.

  • Assisting candidates with interview preparation.

  • Coordinate, schedule, confirm, and troubleshoot virtual interviews across time zones.

  • Mail, fax, email, or arrange delivery of correspondence and documents domestically and internationally.

  • Other duties as assigned.

  • accounting software (Quickbooks)

Abilities:

  • Meet firm deadlines set by state and federal boards and agencies.

  • Plan ahead to ensure deadlines are met.

  • Anticipate issues and problem-solve in advance of deadlines.

  • Ability to learn sometimes complex software programs

  • In and out of state travel, as needed, for training and for providing relocation assistance to candidates

  • Maintain high ethical and professional standards and ensure such standards are met within all aspects of the business

  • Be a warm and welcoming presence for our clients and our international candidates

Education and Training:

  • Bachelor’s Degree (desired)

  • Associate Degree plus 1-year experience in an office setting doing daily work similar to that of the duties and responsibilities (desired)

  • 2-4 years of experience in an office setting doing daily work similar to that of the duties and responsibilities (desired)

  • Limited experience but can demonstrate the skills and attitude necessary to succeed at this job, if given the opportunity to get your foot in the door

Experience:

  • Navigating complex legal and/or bureaucratic processes

  • Keeping detailed records and notes

  • Preparing, proofreading, or processing legal or bureaucratic documents

Compensation:

  • $12-$18 an hour, based on skills, experience, and education.

  • 32-40 hours per week.

  • No benefits at this time.

  • Bonuses may be available as business grows.
